If your business is sitting on retired laptops, an old server in the corner of the comms room, monitors stacked under a desk, or a full office that needs clearing — Root Communication Limited handles IT disposal for business clients across the UK as a single managed service. Free collection, certified data destruction, refurbishment of what can be reused, responsible recycling of the rest, and the paperwork your auditor or insurer will ask for.
We work with everyone from five-person startups with one box of old laptops to multi-site enterprises running quarterly refresh programmes. No minimum commitment, no long contracts unless you want one, and no charge for standard business collections in mainland UK.

Six things every UK business needs from an IT disposal provider, and what to look for:
Our service is built to deliver all six in one workflow. Below is exactly how that works in practice.
We handle every step from your office door to your final audit pack. You make one call.
Free UK collection. GPS-tracked vehicles, vetted and uniformed drivers, sealed transport, no charge for standard business loads anywhere on the mainland.
Certified data destruction. Every data-bearing device is sanitised before it enters the resale or recycling stream. Working drives are wiped to NIST SP 800-88 standards; sensitive or end-of-life drives are physically shredded to DIN 66399. See our Secure Data Destruction and Data Shredding pages for the technical detail.
Refurbishment and resale. Working equipment with secondary-market value is wiped, tested, graded and resold through our Resale & Remarketing channel. A share of the recovered value is rebated back to your business.
Zero-to-landfill recycling. Everything that can’t be reused is processed through our Computer Recycling & WEEE Recycling stream at an Authorised Approved Treatment Facility.
Full audit pack. Waste Transfer Note, certificates of destruction for every drive (by serial number), certificate of recycling, asset list, rebate report (where applicable) and an optional environmental impact summary for your ESG reporting.
Account management. For ongoing programmes you get a named account manager — one number to call, one inbox to email, one set of paperwork delivered consistently.
For the full lifecycle service description, see our IT Asset Disposal page.
Most businesses don’t have IT disposal on their day-to-day radar. They call us when one of these situations comes up:
Scheduled IT refresh. End of a 3- or 5-year hardware cycle. The new equipment arrives, the old needs to go, and finance wants the rebate properly accounted for. We co-ordinate with your IT or procurement team so the swap-out is clean.
Office move or relocation. Moving to new premises is the single most common disposal trigger. Equipment that doesn’t justify shipping costs gets disposed of at the old site; we work to the move date.
Office closure or downsizing. A site or floor closes. Everything from servers to monitors to phones needs handling. We send larger vehicles, work to a tight timeline and clear the site cleanly.
Mergers and acquisitions. Duplicate equipment after a merger, or legacy systems being retired post-integration. Often sensitive — we handle higher chain-of-custody requirements as standard.
Lease end on hardware finance. Leased equipment coming off contract that the leasing company doesn’t want back. We collect, destroy the data, and provide the leasing-company paperwork they require.
Working from home unwinds. Equipment recalled from remote workers post-pandemic. We can collect from home addresses where needed, or aggregate at a central hub.
Compliance-driven retirement. A specific device type or generation needs retiring (Windows end-of-life, a withdrawn vendor product, a security policy update). We handle the bulk decommission to your timetable.
One-off storeroom clear-out. The cupboard everyone’s been ignoring. Old laptops, monitors, servers, dead phones. We collect it all and give you the paperwork to put it behind you.
If your situation looks like any of these, we’ve done it before — usually more times than we can count.
The process is deliberately simple. You make one call; we do the rest.
1. Initial conversation. Tell us roughly what you have (rough device count, locations, any time pressure). No detailed inventory required at this stage.
2. Quote and booking. We confirm the service is free for your load (it usually is), agree a collection window and confirm any specific requirements — site access, security clearance, witness destruction, fixed deadline.
3. Collection. A GPS-tracked vehicle arrives at the agreed time. Every item is scanned and logged at the door. You sign the Waste Transfer Note — your duty-of-care document is complete.
4. Processing. Equipment moves under chain of custody to our Manchester facility. Drives are sanitised before any further handling. Working equipment is routed to refurbishment, end-of-life to material recovery.
5. Reporting. Within five working days you receive your audit pack — destruction certificates, asset list, recycling certificate, optional ESG summary, and rebate report if applicable.
6. Settlement. Where rebates are due, they’re paid by bank transfer against an itemised report. No black-box pricing, no hidden deductions.
Anything your business has bought, used and now needs gone:
For a full equipment list see Items We Collect. For wider data-centre and infrastructure decommissions, see our IT Recycling service.
If your business retires IT regularly — quarterly, biannually, or as part of an ongoing refresh — a scheduled disposal programme is usually more efficient and cheaper than ad-hoc collections. What that looks like:
This is how we work with larger corporate IT, public-sector and MSP clients. If your finance or procurement team wants a framework agreement, an Article 28 data processor contract and a master service schedule, we can have that in place before the first collection.
Our service is genuinely sector-agnostic, but a few sectors come up most often because of the volume or sensitivity of what they retire:
If your sector isn’t listed, we almost certainly still work with similar businesses — call us and we’ll confirm.
The boring stuff matters because the consequences of getting it wrong (an ICO fine, an environmental enforcement notice, a failed audit) are not boring at all. Our service is built to satisfy:
The practical translation: if your auditor, insurer, ICO inspector or procurement team asks for evidence, we provide it as standard. No upgrade tier, no extra paperwork charge.
Is your IT disposal service really free for businesses?
For most UK business loads, yes — collection, data destruction and recycling are free of charge. Where the equipment retains resale value, we rebate a share back to you, so IT disposal often generates revenue rather than costing anything. Specialist work (on-site destruction, witnessed destruction, very small loads in remote areas) may carry a fee, which we always quote up front.
Do I need a minimum quantity to book a collection?
No fixed minimum for most UK postcodes. Smaller loads are sometimes batched with other collections in your area, which we’ll let you know about at booking. For very large jobs (hundreds of devices, full office clearances, multi-site), we send larger vehicles and a dedicated team.
What’s the difference between this service and IT Asset Disposal?
The same underlying service, framed differently. IT Asset Disposal is the technical service description. IT Disposal for Business is the same service explained from the business buyer’s perspective — what triggers the call, how it fits into office moves and refreshes, what you get at the end. Both pages describe the same workflow.
How do I prove to my auditor that the disposal was compliant?
You receive a documentation pack: a Waste Transfer Note (your duty-of-care document) at collection, a Certificate of Destruction for every data-bearing drive (by serial number), a Certificate of Recycling for the load, an itemised asset list, and an optional environmental impact summary. This is the evidence pack any UK auditor, ICO inspector or compliance review will accept.
Can you work to a fixed deadline — for example, an office move date?
Yes. Tight deadlines are routine for us — office moves, lease ends, mergers and closures often run to fixed dates. Tell us the deadline at booking and we’ll work backwards from it. For very tight timelines we offer expedited service in most UK regions.
Do you cover the whole UK?
Yes — mainland UK including London, Manchester, Birmingham, Leeds, Liverpool, Glasgow, Edinburgh, Cardiff, Bristol and surrounding regions. Highland, island and Northern Ireland collections are arranged on request. Multi-site collections are coordinated centrally.
What happens to the equipment after you take it?
Working equipment is tested, refurbished and resold through our Resale & Remarketing channel — with a share of the value rebated to you. End-of-life equipment is dismantled at our Manchester facility and material-recovered through licensed downstream processors. Nothing reaches landfill.
Are you GDPR-compliant?
Yes. We operate as a documented Article 28 data processor under UK GDPR. Every drive is sanitised to NIST SP 800-88 standards (software erasure) or DIN 66399 (physical shredding), and you receive an individual Certificate of Destruction per drive. Article 28 data processor agreement available on request.
Can you collect from home addresses for remote workers?
Yes. We arrange collections from home-worker addresses where needed, or set up a central hub address where remote staff can return equipment and we collect in one trip. Useful for businesses that have run hybrid or fully remote arrangements.
Can my finance team get a single invoice/rebate report for multi-site work?
Yes. For multi-site and ongoing programmes we consolidate reporting and rebates into a single statement, broken down by site, against a single account. Account managers can also format reporting to match your internal cost-centre or P&L structure if that helps your finance team.
Whether it’s one stockroom or a multi-site programme, an office move or a routine refresh, we’ll handle the disposal, the data, the paperwork and the rebate. One call, one provider, one audit trail.
